Privacy Policy

This policy explains how your personal data is collected, used, stored and deleted when you use the Reflex AI mobile app (the "App"). It also serves as the information notice under Turkish Personal Data Protection Law No. 6698 ("KVKK").

1. Data We Collect

• Account information: full name, email, phone, job title, gender (optional) and profile photo. When you sign in with Google or your phone number, the name, email, phone and profile photo provided by that service.
• Business records: your portfolio, project, customer, agenda, document and My Performance records. These records are stored only on your device, linked to your account, and are not sent to our servers.
• Office Management data: the name, title, phone, email and photo of team members you add; tasks you create; and your location when you choose to share it. This data is stored on our servers and can only be seen by the team members concerned.
• Contacts: read only when you use the "Merge phone contacts" option in Buyer Matching and grant permission. Your contacts are processed on the device, are not modified and are not uploaded to our servers. When you start an AI buyer audience analysis, contacts' names and phone numbers are not sent; only non-identifying occupation, title, company and city information is sent with anonymous IDs.
• Location: collected while the app is open, to show your position on the Map and when you tap "Share My Location" in Office Management. No background location tracking takes place. The point you select for analysis on the Map is sent to our server and Google Maps services to find nearby places.
• Photos: photos and logos you select in My Business Card and Social Media are processed only to generate images; the resulting designs are stored on your device.
• AI inputs: texts, instructions, property details and AI RolePlay conversations you enter while using AI features.
• Technical data: session key, a notification ID (FCM) if you allowed notifications, and feature usage counts to prevent abuse.

2. How We Use Data

• To create your account, let you sign in and provide the app's features.
• To generate AI-powered analyses, suggestions, texts and images.
• To enable task and location sharing with your team in Office Management.
• To ensure security and prevent abuse and excessive use.

We do not sell your data or use it for advertising. The app contains no ads.

3. Service Providers We Share Data With

• OpenAI (ChatGPT): AI RolePlay, buyer audience analysis, performance commentary and similar text features, and image generation in My Business Card and Social Media. The relevant texts and photos are sent only at the time of the request.
• Google Gemini: AI-powered tools in Calculations and web research.
• Google Maps (Maps, Places, Routes): map, area analysis and nearby places.
• Google Firebase: authentication, database (Firestore), server (Cloud Functions) and notifications.

API keys of AI providers are never sent to your device; all requests go through our secure servers. Providers process data according to their own privacy policies.

4. Storage and Security

Account, profile and Office Management data is stored on Google Firebase infrastructure. All connections are encrypted (HTTPS). Your password is stored irreversibly (bcrypt). Your data is kept as long as your account is open and is deleted when you delete your account.

5. Account and Data Deletion

You can delete your account at any time in the app via Settings > Security & Password > Permanently Delete Account. For details and deletion requests outside the app, see the Account and Data Deletion page.

6. Your Rights Under KVKK

Under Article 11 of KVKK you have the right to learn whether your data is processed, request information, ask for correction or deletion, learn the purpose of processing and object. For requests, write to info@reflexaiapp.com.

7. Children's Privacy

The app is not intended for people under 18 and we do not knowingly collect data from children.
